4. Event Terms & Conditions
This section explains how our event-specific rules apply to Young Eagles 14 activities, in addition to the Terms of Service and Privacy Policy.
4.1 Event Scheduling & Capacity
- Events may have limited capacity for flights and ground activities; registration does not guarantee a specific time slot or flight until confirmed.
- We may maintain main registration and waitlist options; the number of available slots in each is based on aircraft, pilot availability, and safety considerations.
- We may adjust participant counts, groupings, and scheduling on the day of the event to reflect real-world conditions.
4.2 Check-In & On-Site Procedures
- Participants must check in at the designated registration area and follow posted instructions.
- Parents/guardians must complete all required forms for minors before participation.
- Participants and guests must remain in approved areas and respect posted signs and barriers.
4.3 Health, Fitness & Special Needs
For safety and comfort, it is important to let us know about any medical, mobility, or other conditions that may affect participation. We will make reasonable efforts to accommodate special needs where safe and practical.
4.4 Compliance with Airport & Regulatory Rules
All participants, guardians, and volunteers must comply with airport regulations, security requirements, and applicable aviation rules. Failure to do so may result in removal from restricted areas and/or termination of participation.
5. Photo & Media Release
Young Eagles 14 and EAA Chapter 14 may document events through photography, video, and audio recordings for program reporting, education, and outreach. This section explains how we handle images and media involving minors and adults.
5.1 Media Involving Minors
Because Young Eagles events center on youth aviation, minors may appear in photos or other media produced at our events. Parent or guardian consent is required for participation and for the use of a minor’s likeness as described here.
By signing the appropriate registration and/or media consent forms for a minor, the parent or legal guardian generally:
- Authorizes Young Eagles 14, EAA Chapter 14, and EAA to capture the minor’s image, voice, and likeness (for example, in photographs or video) in connection with Young Eagles and chapter activities;
- Grants permission for such media to be used, reproduced, displayed, published, or distributed in print, online, in social media, and in other chapter or EAA materials, for educational, reporting, and promotional purposes;
- Understands that media may be edited, combined with other images or text, or otherwise adapted for publication;
- Acknowledges that there is no expectation of financial compensation for such use;
- Releases Young Eagles 14, EAA Chapter 14, EAA, and their representatives from claims related to authorized uses of the minor’s image or likeness, to the extent permitted by law.
If you prefer that your child not be photographed or recorded, please notify the event coordinator at or before check-in so we can take reasonable steps to minimize inclusion in media.
5.2 Media Involving Adults
Adults (including parents, guardians, and volunteers) may also appear in photos or other media at events. By participating on-site, and particularly by signing any media consent language included in forms, adults generally:
- Consent to the capture and use of their image, voice, and likeness in connection with Young Eagles and chapter activities;
- Grant non-exclusive permission for Young Eagles 14, EAA Chapter 14, and EAA to use such media in print, online, and other chapter or EAA communications;
- Agree that media may be edited, formatted, or combined with other materials for publication;
- Understand that no financial compensation is expected in connection with such uses;
- Release Young Eagles 14, EAA Chapter 14, EAA, and associated parties from claims related to authorized media use to the extent permitted by law.
Adults who prefer not to be included in photos or recordings should notify the event coordinator; we will make reasonable efforts to position them outside primary media focus areas when practical.
6. Liability (Adults & Minors)
This section provides a comprehensive summary of how liability, assumption of risk, and consent are handled for both adult participants and minors in Young Eagles 14 activities. The actual legal language appears in the official EAA and chapter forms that you will be asked to sign at or before an event.
6.1 Inherent Risks of Aviation Activities
Aviation, including ground operations near aircraft and flights in light airplanes, involves inherent risks. These risks may include, but are not limited to, turbulence, rough landings, mechanical failure, weather conditions, airport vehicle traffic, slips and falls on uneven surfaces, and other hazards associated with operation in an active airport environment.
6.2 Adult Participants – Assumption of Risk & Release
Adult participants in orientation or demonstration flights (or other aviation-related activities) may be asked to sign a written agreement prior to participation. By signing that agreement, an adult typically:
- Confirms that participation is voluntary and undertaken with knowledge of inherent risks;
- Accepts responsibility for the ordinary risks of flight and airport activity, including the risk of personal injury, property damage, or, in rare cases, death;
- Agrees to release and discharge Young Eagles 14, EAA Chapter 14, EAA, pilots, owners/operators of aircraft, and volunteers from certain claims and liabilities arising out of participation, to the extent allowed by law;
- Acknowledges that this release generally does not waive rights in cases where liability cannot legally be waived under applicable law.
6.3 Minor Participants – Parental/Guardian Consent
Minors do not sign their own legal waivers. Instead, a parent or legal guardian must sign the appropriate Young Eagles registration and consent forms for each minor participant. By signing, the parent or guardian typically:
- Affirms that they are the child’s parent or legal guardian and authorized to consent to participation;
- Acknowledges that youth aviation activities carry inherent risks, even when conducted with care and attention to safety;
- Authorizes the child to participate in Young Eagles flights and related ground or educational activities;
- Consents to emergency medical treatment being arranged if necessary and if the parent/guardian cannot be reached immediately, with reasonable efforts made to contact them as soon as practical;
- Agrees to release and not assert certain claims against Young Eagles 14, EAA Chapter 14, EAA, pilots, and volunteers related to ordinary risks inherent in participation, to the extent permitted by law.
6.4 Indemnification & Hold Harmless
In many cases, the adult participant or parent/guardian also agrees to indemnify and hold harmless Young Eagles 14, EAA Chapter 14, EAA, pilots, and volunteers from certain claims brought by or on behalf of the participant or minor, except where such indemnification is restricted or prohibited by law.
6.5 No Guarantee of Outcome
While Young Eagles 14 and EAA Chapter 14 are committed to safety and follow EAA program guidance, no guarantee can be made as to the outcome of any flight or event. The decision of a pilot in command regarding whether or when to fly is final and based on safety considerations.
7. Youth Protection Policy (Chapter Statement)
Young Eagles 14, as part of EAA Chapter 14, participates in the EAA Young Eagles program and follows EAA’s Youth Protection principles and training requirements. This section is our chapter-level summary of how those principles are applied locally.
7.1 Commitment to Youth Safety
Our chapter is committed to providing a safe, respectful, and welcoming environment for all youth participants, their families, and volunteers. Youth safety and protection are core responsibilities for everyone involved in our programs.
7.2 Screening & Training for Certain Roles
Certain volunteer roles that work closely with youth, such as Young Eagles pilots and key youth program coordinators, may be required by EAA to:
- Complete EAA’s Youth Protection training (delivered online);
- Undergo a basic background check, where required, in order to serve in a covered role;
- Renew such training or screening at intervals consistent with EAA guidance.
Volunteers are expected to be familiar with and comply with the youth-protection standards set forth by EAA for the roles they undertake.
7.3 Supervision & Appropriate Conduct
Our chapter expects all volunteers and participants to maintain appropriate boundaries and conduct when interacting with youth. This includes:
- Avoiding being alone one-on-one with a youth in non-public settings whenever reasonably possible, and using visible, open environments for interactions;
- Refraining from inappropriate physical contact, language, or behavior;
- Treating all youth with respect and dignity, regardless of background or ability;
- Being mindful of photography or recording of youth, consistent with consent and media guidelines.
7.4 Prohibited Behavior
The following are examples of behavior that are not tolerated in connection with our youth programs:
- Any form of abuse, harassment, or exploitation of a minor;
- Use of alcohol or illegal substances while supervising or interacting with youth during events;
- Possession or distribution of inappropriate or explicit materials in a youth setting;
- Retaliation against anyone who, in good faith, reports a concern about youth safety.
7.5 Reporting Concerns
Anyone who observes or experiences conduct that may violate youth-protection standards or applicable law is strongly encouraged to report the concern promptly. Depending on the nature of the concern, this may include:
- Notifying an event coordinator or EAA Chapter 14 leader on-site;
- Contacting EAA headquarters through the channels provided for youth-protection concerns;
- Reporting directly to law enforcement or child-protection authorities where required or appropriate.
Our chapter will take concerns seriously and will cooperate with EAA and appropriate authorities as needed.
7.6 Parental/Guardian Involvement
We encourage parents and guardians to be actively involved in their child’s participation, including:
- Reviewing registration and consent forms before signing;
- Asking questions about the program, safety procedures, and event logistics;
- Accompanying youth to events and remaining on-site when practical;
- Discussing the experience with their child afterwards and addressing any concerns.
7.7 Relationship to Official EAA Policy
This chapter statement is intended to reflect and support the principles of EAA’s Youth Protection policy in language that is easy to read and apply at the local level. It is not a substitute for the official EAA policy documents or training materials. In the event of any difference between this summary and EAA’s official policies, the official EAA policy and guidance will control.
